Important: New Changes to Passphrase Protocols December 1, 2019

After recent Technology Support Team (IT) security audit findings, there will be changes to the required user passwords. Password will be referred to as a passphrase. Passphrases are strongly recommended in IT security protocol. For example, instead of a password “csmhawk”, use a passphrase such as “iloveCsmhawks.”  Another change to expect is how often a password must be changed. Currently, passwords must be changed every 6 months; under the new protocol, users will not have to change their passphrase unless there is a security incident. Also, CSM currently has a single-factor authentication. We will be moving to a multi-factor authentication. Below are the protocol changes:

CurrentNew
Must be changed every 6 monthsNot changed unless security incident
Must be at least 8 characters longMust be at least 12 characters long
Must include at least 3 types of the following characters: uppercase (A-Z), lowercase (a-z), numbers (0-9), symbol (!, #, $, etc.)Must include at least 2 types of the following characters: uppercase (A-Z), lowercase (a-z), numbers (0-9), symbol (!, #, $, etc.)

New password many not have been used previouslyNew passphrase may not have been used previously
Must not include your name or usernameMust not include your name or username
Must not include a sequence of characters (A,B,C.. or 1,2,3…)Must not include a sequence of characters (A,B,C… or 1,2,3…)
Password is case sensitivePassphrase is case sensitive

Effective on Sunday, December 1, 2019, at 6 p.m., users will be prompted for multi-factor authentication when logging into MS O365 and Outlook. More information regarding multi-factor authentication is available here.

The new passphrase protocol will also be effective December 1, 2019, at 6 p.m. However, each user will not be prompted to change his/her passphrase until his/her current password is set to expire.

See below for common issues. If you have a question, please contact the Help Desk.
